A visa is an official endorsement, usually a stamp or sticker in your passport, granting you permission to travel to and enter a foreign country for a specific purpose (tourism, work, or study) and duration, acting as pre-entry clearance but not a guarantee of entry, as an immigration officer at the border makes the final decision. It signifies you've met preliminary requirements, but the actual entry permission comes upon arrival at the port of entry, where an immigration officer reviews your visa, passport, and other documents.

As you prepare for your upcoming exchange placement in your Australian host university, here is some useful information and links to help you apply for your student visa (subclass 500). For every immigration document you send and receive, make sure to check that the spelling of your name and your date of birth are exactly the same as listed on your passport. For additional information on the visa and immigration process for students, please visit .

Receiving a Confirmation of Enrolment (CoE) from your Australian host university

Working in cooperation with staff in the International Education Division in UL, you can apply for a semester鈥檚 study in a host university in Australia. If you are successful in your application to study in Australia, you will receive a CoE from your host university. You are not eligible to apply for an Australian student visa until you receive the CoE.

Booking Health Insurance

You will need to book health insurance for the duration of your stay. Your health insurance must be Overseas Student Health Cover (OSHC) and will need to be in place at least one week before your departure for Australia. When applying for your visa online through ImmiAccount, you will need the name of your health insurance provider, the date your policy starts and finishes, and your policy number.

Gathering Other Necessary Documentation

Before you can submit your online visa application, you will first need to gather a number of documents that are required for your application. You will need a copy of your passport, birth certificate, your CoE, evidence that you can financially support yourself for the duration of your stay and proof of health insurance (as outlined above). You may also be asked for a copy of your r茅sum茅, proof of current employment or your driver鈥檚 licence.

Applying for your Student Visa

Once you have received your CoE, you will need to set up an ImmiAccount by logging on to and clicking on 鈥楥reate ImmiAccount鈥. Once your account is set up, simply follow the instructions on screen to submit your application. You must add as much information as possible before you submit your application. Applications with missing information might take longer to finalise or might be refused.

Receiving your Student Visa

If you successfully complete the online application system, you will be issued with your Australian visa electronically. You will also be issued a visa grant notification letter that explains the conditions of your visa, including the period of validity and entry requirements. You should retain this for your own reference and you may wish to carry it with you when you travel as it contains important information about your visa.

Travelling to Australia

Before boarding your flight and upon arrival in Australia, you will be asked for proof that you have permission to enter the country. Your passport, which is linked electronically to your visa, is proof of this permission. However, you should also carry on your person your grant notification letter, evidence of your health insurance, proof that you can financially support yourself and your CoE as you may be asked to show these upon entry to Australia.

Working in Australia

As part of your Student Visa, you are entitled to work 20 hours a week in Australia. However, you must ensure you have sufficient funds to support yourself, without having to rely on earnings from work while in Australia.

Types of Student Visa

As a visa is a precondition to your admission procedure and your plans to study in Hong Kong, it is essential to understand the types of a student visa. The type of student visa depends on type and duration of your course/educational program. If you are undertaking a full-time and long-term graduate course, the visa duration would be different from that of full-time postgraduate course, part-time graduate/postgraduate programs, short-term graduate / postgraduate programs and exchange study programs at bachelors or above level. In either case, a visa is mandatory before entering the land of Hong Kong.

Documents required for Visa application

In addition to understanding the type of visas, you must also be aware of various documents that you will need to complete the admission and visa formalities. For your reference, here is the list of forms and documents that are needed by non-resident students:

  • Form ID 995A, completed and signed by the applicant
  • Form ID 995B, completed and signed by the sponsor

Both the forms can be downloaded online or can also be sought from concerned branches of Immigration Department. Along with the above forms following documents should be submitted for applying for a visa:

A photocopy of your letter of admission from a university in Hong Kong and your letter of acceptance to the specific course.

  • Photocopy of Passport.
  • A photocopy of Identity Card/travel document which contains personal credentials
  • One passport sized recent photograph.
  • Photocopy of Highest Public Examination/Academic Result along with transcripts, awards, and certificates.
  • Photocopy of other qualifications such as IELTS or TOEFL (which is required for applicants whose mother tongue is not English; UK and US natives may not need it).
  • Proof of your financial condition. Proof of scholarship funds, bank statements, passbooks, etc. (This is to prove that you can afford education and living expenses at Hong Kong. A proof of HK$120,000 approximately is expected, rest depends on the educational program under consideration).
  • Evidence of your accommodation arrangement in Hong Kong. An undertaking by the sponsor to provide you accommodation can also do the needful.
  • Care while compiling documents along with Visa application form

By any chance, if you fail to submit even one relevant document, your admission could be at stake, as you may not get a visa or there could be a delay in acquiring a visa. Please double check all documents before submission (whether you have compiled all documents and all are duly filled/attested as per requirement, etc.) and also keep in touch with the immigration department of the University so that you can include anything you might have missed. You can also check the status of your application time to time online. Also, it is advisable to complete and submit the necessary documents before the start of the academic semester so that you may have time in hand to finish anything left out.

Where to submit Visa application and related documents?

Submitting the documents at the right place and through a reliable channel cannot be overlooked. You can send the documents either directly by post to Receipt and Despatch

Sub-Unit, Hong Kong Immigration Department, 2/F, Immigration Tower, 7 Gloucester Road, Wan Chai, Hong Kong. The post may also be sent to your chosen local sponsor. Applicants from abroad may submit their applications to the nearest Chinese Embassy. It is advisable to get in touch with your concerned educational institution to understand the procedure better.

Most of the educational institutions lend a helping hand to help the applicants do all the necessary formalities and sometimes even complete the process for them.

When can you expect Visa approval?

If you succeed to submit all the necessary documents astutely and if they are approved by the Immigration Department then the whole visa process may take up to 6 weeks to complete all the necessary formalities. Duration of your approved visa will depend on the duration of your study program.

When to renew your Visa?

Overstay after the expiry of visa is strictly prohibited. Thus it is suggested to apply for renewal of visa at least one month before the expiry of old visa if you plan to stay/study/work after completion of the study program, as the case may be. Accordingly, you can choose your application form and proceed for further formalities.

If you are going to study in Japan for a semester or longer, you will need to obtain a visa to enter the country. Here is some useful information on the process of obtaining a visa. For every immigration document you receive, make sure to check that the spelling of your name and your date of birth are exactly the same as listed on your passport. For additional information on the visa and immigration process for students, please visit

Receiving your Certificate of Eligibility

After you have enrolled in your host university in Japan, the international office there will apply to the relevant immigration office on your behalf for a Certificate of Eligibility (COE) for residence status. This is proof that you meet the conditions for entry into the country. Once the university has obtained the COE, they will send it to you along with your Certificate of Acceptance to the university. Please note the Certificate of Eligibility is only valid for three months and you must enter Japan during this period or it will become void.

Obtaining a Student Visa at the Japanese Embassy

Once you have received your COE, you will need to visit the Japanese Embassy in Dublin to obtain an entry visa. The COE alone is not enough to gain you entry to Japan. The Embassy is located in Dublin 4 and while it is not necessary to make an appointment, you should check in advance to ensure that it is open on the day that you plan to go there. Information on how to get to the embassy and its opening hours can be found by visiting the Embassy website

Please bring your COE, Certificate of Eligibility and passport with you to this appointment.

Procedures for Entering Japan

When you arrive in Japan, you will be subject to an immigration inspection at your port of arrival. Your passport, and the valid visa contained inside it, will be inspected along with your COE and your Embarkation and Disembarkation card (which is normally distributed in the plane during the flight). You will submit these to the immigration officer and will have your fingerprints and a facial photograph taken. The immigration officer may ask you about the duration of your stay and what you plan to do in Japan. Answer all the questions calmly and truthfully. Once you are deemed to conform to the entry conditions, you will receive a seal of verification on your passport and a Resident Card. If your port of entry is unable to issue a Resident Card, you will receive a stamp in your passport stating that the Card will be issued by post, once you provide details of your address at the local city, town, ward or village government office.

Resident Registration

Within 14 days of moving into your accommodation, you must bring your Resident Card (or your passport if you were not issued with a Resident Card at entry) to the government office nearest where you live. There, you will have to fill in a form providing notification of where you are living under the Basic Resident Registration System.

Working in Japan

It is possible to work part-time while you study in Japan but getting a working visa is slightly more complicated. For more information, visit
